Greetings to all our eSMS-S™ and eREP™ users - a very warm welcome to the possibilities and opportunities that this post-COVID lockdown year will present to us all in the world of Safety, as business slowly begins to regain a foothold and gain momentum after a year of almost complete closure.

Our L&A Cape Town office, which includes our IT, software, general office and auditing staff members are now back in the office during normal working hours each day, albeit as we continue to adhere to strict COVID social distancing rules.

INTRODUCTION

eSMS-S™ is a simple to use, inexpensive software Safety Management System for use in any industry requiring to implement a Safety management programme in an efficient and cost-effective way.

eSMS-S™ was initially developed for the aviation industry. The programme covers all the safety-critical elements of a safety programme under the pillars of Safety Policy and Objectives, Safety Risk Management, Safety Assurance and Safety Promotion and within eSMS-S™ there are appropriate tools to document and implement the required elements of the Safety programme.

eSMS-S™ SYSTEM HELP-DESK

Our helpdesk is situated in Cape Town, South Africa. If you are not sure how a tool works, ask our Help Desk and they will provide the answer. Or if you prefer, we can show you via a Skype tutorial or send you a ‘gif’ video showing how it works.

TECHNICAL SUPPORT

Technical support is offered to our clients via a Ticket notification system which is monitored daily. Every request for technical support receives a tracking number and is responded to by our eSMS-S™ technical developers.

SAFETY CASES

A Safety Case can be created, Risks identified, assessed and mitigation actions taken and all details documented in the safety case.

HAZARD REPORTS ; INCIDENT / ACCIDENT REPORTS and OHSE REPORTS

Reports can be created, filed and investigated. iPhone, iPad and ANDROID APPs are available. Hazards can be identified and Risks assessed and mitigated. TAGS can be created and applied to each report for easy search and trending statistics for the future. Statistics can be created for reporting functions. Filter reports according to ‘tolerability’ to keep resources focused on your major concerns. Recommendations: Allocate Corrective Actions to responsible Personnel and track to full close out.

DIGITAL NOTICEBOARD

Management can post topics for discussion or to be read by all Users – The Noticeboard is on the main page as the system opens after logging in.

MANAGEMENT OF CHANGE PROCESSES

Major changes in the company can be created. The eSMS-S™ MOC process is simple to use.

TRAINING & OTHER CURRENCIES

Currencies can be tailored to the User’s exact requirements in terms of uploading training type and expiry dates. The system, which can be tailored to set notification periods for all expiring of training and other currencies, gives alerts 30 days prior to expiry of a currency.

OPERATIONAL (FRAT) RISK ASSESSMENTS

An assessment can be carried out prior to each task. The Risk Assessment Tool (RAT) is editable to allow tailoring to the Operator’s requirements.

ASSET EXPIRY CURRENCIES

These work similarly to Training Currencies but this tool monitors assets (for example, in a workshop, items of equipment that require servicing at regular intervals such as pressure vessels; first aid kits and fire-fighting equipment). Additionally, important items such as an insurance policy expiry dates can be tracked.

AGENDAS & MINUTES OF MEETINGS

Agendas can be created for any type of meeting (Safety; Quality; Training and Operations) and Minutes created during the meeting and agreed by all in attendance. Agendas can be shared via the internet (e.g. Skype/Zoom/Teams) during the meeting and therefore a Manager can attend even though he is not physically in the meeting room or possibly out of the country.

EMERGENCY RESPONSE EXERCISE PLANNING

In the system it is possible to demonstrate a track record of holding ER exercises and reports filed.

YELLOW TAGS

Important messages can be distributed to relevant groups.

RED TAGS

Red tag messages of urgency can be sent and confirmation of receipt given.

SAFETY / QUALITY AUDITING

This is a very important part of safety assurance. eSMS-S™ includes auditing tools suitable for small to medium size Operators. A new, more advanced auditing tool called eREP-S™ which is already being used by Litson & Associates Auditors, will be offered as an eSMS-S™ Plus tool in the near future.

DOCUMENTATION MANAGEMENT

Store all Master documentation: policies, procedures, manuals and forms. Tag documents for easy searching.

Use “Tags” to create a categorisation system, Tag reports which can be later filtered, sorted, tracked and trended according to your tags so that you can identify threats that are most common in your organisation.

SAFETY STATISTICS

Reports and reporting by type, month and classification / Recommendations and Corrective Actions / Statistics and reports statistics from across the eSMS-S™ system / Internal Operator User sign-ups and activity. Statistics are continually being reviewed and new stats added to the system.
